Comparison

QuoteCrest vs PandaDoc

PandaDoc is a full document automation suite priced per user. QuoteCrest does one job — quotes that get approved and paid — at a flat price for the whole team.

Cost as you grow

Per user, or per team

PandaDoc bills for every seat. QuoteCrest Pro is one flat price that covers up to ten people, so adding an estimator to your crew doesn't change your bill.

Monthly cost by team size, comparing per-seat and flat-rate pricing
Team size PandaDoc Starter QuoteCrest Pro
1 person $19/mo $19/mo
3 people $57/mo $19/mo
5 people $95/mo $19/mo
10 people $190/mo $19/mo

PandaDoc figures use its published Starter rate of $19 per user per month on annual billing. QuoteCrest Pro is $19 per month for the team, including up to 10 members.

Feature by feature

Both tools send a document, capture a signature, and take a payment. They differ in what surrounds that.

When PandaDoc is the better choice

A comparison page that claims to win everywhere is worthless. PandaDoc is a bigger product than QuoteCrest, and for some teams that is exactly the point.

  • You send contracts, statements of work, and HR paperwork — not just quotes — and want them all in one system.
  • You need conditional approval routing before a document can go out.
  • Your sales process runs inside Salesforce or HubSpot and the document tool has to live there too.
  • You want a shared content library that marketing controls and sales assembles from.

Common questions

Is QuoteCrest a drop-in replacement for PandaDoc?
Only if quoting is what you use it for. QuoteCrest covers quotes end to end — build, send, e-sign, take a deposit, sync to accounting. It does not handle general document automation, contract lifecycles, or CRM-embedded workflows.
Do I pay for every person on my team?
No. Pro is a flat $19 per month covering up to 10 members, and Business is $49 per month with no member cap. Seats are not billable.
Does QuoteCrest connect to Xero directly?
Yes. QuickBooks and Xero both connect over OAuth, and an accepted quote becomes an invoice in whichever one you use. No Zapier plan in between.
Can I collect a deposit rather than the full amount?
Yes. Each quote can require 30%, 50%, or 100% of the payable total at acceptance, and you set a default for the team.
Is there a free plan?
Yes — unlimited quotes and online payments on the free tier, with a 1% platform fee on payments you collect. No credit card to start.
