How to Write Junk Removal Quotes That Win Jobs

Junk removal pricing confuses clients, and confused clients keep shopping. Here's how to quote by volume, disclose surcharges, and close same-day.

Why junk removal quotes fall apart on the phone

Junk removal is bought in a hurry. Someone is clearing out a garage, an estate, or a rental turnover, and they call three companies from the driveway. The companies that quote a vague range — "somewhere between $150 and $400 depending on what you've got" — force the client to keep calling, because a range that wide isn't an answer.

The winning quote does two things: it explains how the price works so the client trusts it, and it arrives fast enough to be accepted before anyone else calls back.

Price by truck volume — and teach the client the math

Volume-based pricing is the industry standard for a reason: it scales fairly from a single couch to a full estate cleanout. The problem is that "half a truck" means nothing to a client until you translate it. Do the translation in the quote itself:

  • Minimum load (⅛ truck) — $95 — about the size of a two-seater couch
  • ¼ truck — $175 — a standard pickup bed, heaped
  • ½ truck — $320 — a one-car garage's worth of clutter
  • ¾ truck — $440
  • Full truck — $550 — roughly 400 cubic feet, the contents of a small apartment

Give each fraction a real-world anchor. When the client can picture "a pickup bed, heaped," they can estimate their own job — and a client who can estimate their own price trusts your number instead of shopping it.

Disclose item surcharges before the client asks

Certain items cost you real money to dispose of, and clients don't know that until you tell them. If the first time they hear about a mattress fee is when your crew is standing in their living room, you look like you're padding the bill. Put surcharges in every quote:

  • Mattresses and box springs — +$25 each (state recycling fee)
  • Refrigerators, freezers, AC units — +$40 each (certified refrigerant recovery required by law)
  • Tires — +$15 each (not accepted at standard transfer stations)
  • Paint, chemicals, and hazardous materials — quoted individually; some items we cannot legally haul

The refrigerant line matters more than it looks: explaining why the fee exists (EPA-required recovery, not markup) turns a suspicious surcharge into proof that you're the licensed, legitimate operator.

Price the labor factors, not just the pile

Two identical half-truck loads are not the same job if one is curbside and the other is a third-floor walkup. Build labor factors into the quote as visible lines:

  • Stairs — +$30 per flight beyond ground floor
  • Long carry — +$40 where truck access is more than 100 feet from the items
  • Disassembly — +$45 per item (swing sets, sheds, large furniture that won't fit through doors)

Itemizing these does double duty: it protects your margin on hard jobs, and it makes your curbside quotes look cheap without discounting anything.

Make disposal, donation, and recycling a selling point

Most of your competitors haul everything to the dump. If you sort loads for donation and recycling, that's not an operational footnote — it's a reason to choose you at the same price or higher. Add a short section to every quote:

Usable furniture and household goods are donated to local charities; metal, cardboard, and electronics are recycled. On request, we provide a donation receipt for tax purposes. Typically 40–60% of what we haul stays out of the landfill.

Estate cleanouts especially are emotional jobs. Families choose the company that promises Grandma's dresser goes to a charity, not a landfill.

Quote from photos — with an on-site confirmation clause

The fastest way to quote is to have the client text or upload three or four phone photos of the pile. You can size most jobs within one truck-fraction from decent photos, and the client gets a real number in minutes instead of waiting for an in-person estimate. Protect yourself with one standard clause:

This quote is based on the photos provided and covers up to a half truck. Final volume is confirmed on-site before work begins; if the load is larger than shown, we'll adjust to the matching truck-fraction rate and get your approval before loading anything.

The client gets speed, you get protection, and the price ladder from your quote means any adjustment follows rules they've already seen — not a renegotiation.

Push for same-day acceptance and payment

Junk removal has the shortest decision window of any home service: the client wants the stuff gone this week, often today. Every hour your quote sits unanswered is an hour a competitor can call back. Send the quote while you're still on the phone or looking at their photos, let them accept online in one tap, and collect payment on acceptance or on completion by card — no invoicing, no "check's in the mail." A quote a client can approve and pay from their phone in the driveway is how same-day jobs actually get booked.

Build this quote in 60 seconds with AI

Every section in this guide — the truck-fraction price ladder, item surcharges with explanations, labor factor lines, the donation note, the photo-quote confirmation clause — can be generated automatically. QuoteCrest's AI quote builder creates fully structured, professional quotes from a single prompt.

Try this prompt in QuoteCrest:

"Write a junk removal quote for a half-truck garage cleanout at $320, with real-world size comparisons for each truck fraction from minimum load to full truck. Add surcharges: mattresses +$25, refrigerator +$40 with a note about certified refrigerant recovery, tires +$15 each. Include +$30 per flight of stairs. Add a clause that the quote is based on client photos and final volume is confirmed on-site before loading, plus a note that usable items are donated with a receipt available."

The AI generates the full structured quote with all line items, surcharge disclosures, and your branding applied automatically. See pricing or start your free trial.
